Client Documents and the Client Portal

If you work with us on a lease or a purchase, we may ask you for documents such as government photo identification, a credit report, pay stubs, a letter of employment and a rental application. These are collected only to verify your identity as required by law, to prepare and support your application or offer, and to complete the transaction. Nothing is shared with a landlord, seller or other brokerage until you have agreed to apply for or make an offer on a specific property.

Documents you upload through this website, and documents we share with you through your client portal, are stored in encrypted private cloud storage and are accessible only to you and to Aidan Holt. Our storage provider is Vercel Inc., and files may be stored on servers located in the United States. While outside Canada, your information may be subject to the laws of that jurisdiction, and we remain responsible for protecting it wherever it is stored.

The documents held on this website are working copies, kept so that you and Aidan Holt can see what has been sent and what is still outstanding while your transaction is in progress. The official record, including the identity verification the brokerage must keep under the Proceeds of Crime (Money Laundering) and Terrorist Financing Act and FINTRAC regulations, is held by RE/MAX Metropolis Realty Inc., Brokerage in accordance with its own record keeping obligations. Once a transaction is complete and the brokerage record is filed, the copies on this website are deleted. You may ask us at any time what we hold about you and ask us to delete it, and we will do so unless the brokerage is required to keep it. Requests can be sent to aidan@aidanholt.ca.
